Cancellation, Rescheduling, Refund & Session Conduct Policy

This policy governs the booking, payment, cancellation, rescheduling, attendance, and conduct requirements applicable to yoga, breathwork, meditation, and related wellness sessions offered by Yoga with Bhumi (“the Instructor,” “we,” “us,” or “our”). By booking a session, completing payment, or participating in any session, the client (“you” or “your”) acknowledges and agrees to the terms set out below.

1. Booking Confirmation and Payment

1.1. A session booking shall be considered confirmed only after the booking has been accepted by the Instructor and the required payment has been successfully received, unless otherwise expressly agreed in writing.

1.2. Clients are responsible for providing accurate contact details and reviewing the booking date, time, duration, time zone, and session format before completing payment.

1.3. The client is responsible for ensuring that the selected session and its scheduled timing are suitable for them.

1.4. Any request to modify a confirmed booking must be communicated directly to the Instructor. No modification shall be considered approved unless expressly confirmed by the Instructor.

2. Cancellation and Refund Policy

2.1. All confirmed and paid bookings are non-refundable. Once a booking has been confirmed and payment has been received, the client shall not be entitled to a refund on account of cancellation, a change of personal circumstances, unavailability, or any other reason attributable to the client, subject to applicable law.

2.2. Cancellation by the client does not create an entitlement to a refund, credit, replacement session, or other compensation.

2.3. Clients are encouraged to communicate any scheduling concerns as early as possible. Where permitted under this policy, the Instructor may consider a rescheduling request in accordance with the conditions set out below.

2.4. Nothing in this policy excludes any refund, remedy, or other right that cannot lawfully be excluded under applicable law.

3. Rescheduling Policy

3.1. A confirmed session may be requested to be rescheduled at least 24 hours before the originally scheduled start time.

3.2. Rescheduling requests must be communicated directly to the Instructor as early as possible. A request shall be subject to the mutual availability of the client and the Instructor and shall be effective only once the revised date and time have been expressly confirmed by the Instructor.

3.3. Rescheduling is not automatic or guaranteed. Approval depends on the Instructor’s availability and the feasibility of arranging an alternative session.

3.4. Requests made less than 24 hours before the scheduled start time shall not ordinarily be eligible for rescheduling. Any exception shall be at the Instructor’s discretion, subject to applicable law.

3.5. Once a booking has been rescheduled and the revised appointment confirmed, the revised appointment shall be treated as the confirmed session for attendance and session-management purposes.

3.6. Clients must not assume that a booking has been changed or cancelled merely because a request has been sent. Unless the Instructor confirms the change, the original booking remains in effect.

4. Late Arrival and Session Duration

4.1. Clients are expected to join the session at the scheduled start time and be ready to participate.

4.2. If a client joins late, the session shall ordinarily end at the originally scheduled end time. The missed portion of the session shall not be extended or carried forward, and no refund or replacement time shall be provided for the late arrival.

4.3. For example, if a client books a 45-minute session and joins five minutes after the scheduled start time, the session will ordinarily last for the remaining 40 minutes.

4.4. Clients are responsible for checking their local time zone and joining through the correct meeting link at the designated time.

5. No-Show Policy

5.1. A client who fails to attend a confirmed session without an approved rescheduling arrangement shall be considered a “no-show.”

5.2. In the event of a no-show, the Instructor shall wait for 15 minutes from the scheduled start time to allow the client to join.

5.3. If the client has not joined within this 15-minute period and has not made an alternative arrangement expressly approved by the Instructor, the session may be marked as completed for booking and administrative purposes.

5.4. A session marked as completed due to a no-show shall not be eligible for rescheduling, a refund, or a replacement session, subject to applicable law.

5.5. Clients experiencing an unexpected technical or personal difficulty should contact the Instructor as soon as possible. Any exception shall be considered at the Instructor’s discretion and shall not be presumed to be approved.

6. Code of Conduct and Appropriate Session Behaviour

6.1. All sessions must be conducted in a respectful, safe, professional, and appropriate environment. Clients are expected to maintain proper conduct and respect the professional boundaries of the Instructor and all other participants.

6.2. The following conduct is strictly prohibited:

  • Nudity, indecent exposure, sexually explicit behaviour, or participation for sexual gratification.
  • Sexual harassment, unwanted sexual comments, gestures, advances, or inappropriate requests directed towards the Instructor or any participant.
  • Obscene, abusive, threatening, discriminatory, humiliating, or deliberately disruptive behaviour.
  • Mocking, intimidating, harassing, or disrespecting the Instructor or other participants.
  • Recording, photographing, screenshotting, distributing, or publishing any part of a session without the prior express consent of the Instructor and, where applicable, the other participants.
  • Any conduct that compromises another participant’s privacy, dignity, safety, or ability to participate comfortably.
  • Deliberately disrupting a group session, engaging in inappropriate activities on camera, or using the session for purposes unrelated to its intended wellness objectives.

6.3. The Instructor reserves the right to issue a warning, restrict participation, remove a participant from a group session, or terminate a session immediately if the Instructor reasonably considers the conduct to be inappropriate, unsafe, abusive, sexually suggestive, disruptive, or in breach of this policy.

6.4. Where a session is terminated because of a client’s misconduct or breach of these requirements, the session shall be treated as completed for booking purposes. No refund, replacement session, or rescheduling shall be provided in such circumstances, subject to applicable law.

6.5. For group sessions, the Instructor may remove an individual participant without terminating the session for the remaining participants. The Instructor may also suspend or terminate the entire group session where necessary to protect participant safety, dignity, privacy, or the orderly conduct of the session.

6.6. The Instructor’s decision to intervene or terminate a session shall be made in good faith, with due regard to the circumstances and the safety and well-being of those involved.

7. Technical Requirements and Client Responsibilities

7.1. Clients are responsible for ensuring that they have:

  • A stable internet connection sufficient for live video or audio participation.
  • A suitable device with a functioning camera and microphone where required by the session format.
  • Access to the designated online meeting platform and the correct meeting link.
  • A quiet, private, well-ventilated, and sufficiently spacious area in which to practise safely.
  • A non-slip yoga mat and any other equipment communicated by the Instructor in advance.
  • Clothing that is appropriate for physical movement and consistent with the professional conduct requirements of the session.

7.2. Clients should join a few minutes before the scheduled start time to check their audio, video, internet connection, and physical practice space.

7.3. The client is responsible for their own equipment, connectivity, and local environment. Interruptions caused by the client’s internet connection, device malfunction, power failure, or other client-side technical issues shall not ordinarily entitle the client to an extension, refund, or replacement session.

7.4. If a technical issue on the Instructor’s side prevents the session from taking place, the Instructor will make reasonable efforts to arrange a replacement session or another appropriate resolution.

7.5. If a technical interruption occurs during a session, the Instructor may attempt to reconnect and continue where reasonably practicable. Any material interruption attributable to the Instructor shall be addressed fairly, taking into account the duration and circumstances of the disruption.

8. Health, Safety and Participation

8.1. Clients must disclose any relevant injuries, physical limitations, medical conditions, pregnancy-related considerations, or other circumstances that may affect safe participation before the session begins.

8.2. Clients are responsible for informing the Instructor of any relevant changes in their condition before or during a session.

8.3. Yoga, breathwork, meditation, and related wellness practices are intended to support general well-being. They do not constitute a substitute for medical diagnosis, treatment, or advice from a qualified healthcare professional.

8.4. Clients should practise within their own limits, follow the Instructor’s guidance, and stop any activity that causes pain, dizziness, unusual discomfort, or distress. Clients should seek appropriate professional medical advice where necessary.

8.5. The Instructor reserves the right to modify, pause, or discontinue an activity or session where reasonably necessary to protect a participant’s safety.

9. Group Sessions and Participant Privacy

9.1. Participants in group sessions are expected to respect the privacy, boundaries, and dignity of every individual.

9.2. Clients must not share another participant’s contact details, personal information, statements, images, or session content outside the group without the necessary permission.

9.3. No participant may record, reproduce, distribute, or commercially use session content without prior express authorisation.

9.4. The Instructor may establish additional reasonable participation requirements for particular group programmes, corporate sessions, or specialised classes. Such requirements will be communicated where applicable.

10. Changes or Cancellation by the Instructor

10.1. In the event that the Instructor must cancel or is unable to conduct a confirmed session, the client will be offered a reasonable alternative, ordinarily a rescheduled session at a mutually agreed time.

10.2. Where an alternative session cannot reasonably be arranged, an appropriate refund or other remedy will be provided as required by applicable law and the circumstances of the booking.

10.3. The Instructor may make reasonable adjustments to the session format, sequence, or activities where necessary for safety, technical, or operational reasons, without materially changing the agreed nature of the service.

11. Communication and Policy Queries

11.1. All requests relating to cancellations, rescheduling, attendance, technical difficulties, or other booking matters should be communicated directly to the Instructor through the official contact details provided on the website or in the booking confirmation.

11.2. Clients are encouraged to contact the Instructor as soon as an issue arises and, wherever possible, before the scheduled session begins.

11.3. Any change, exception, or alternative arrangement shall be effective only when expressly confirmed by the Instructor in writing, except where applicable law provides otherwise.

12. Amendments to This Policy

The Instructor may update this policy from time to time to reflect changes in services, operational requirements, or applicable legal obligations. The version published on the website at the relevant time shall apply to future bookings, subject to applicable law and any terms already agreed for existing bookings.

13. Acceptance of Terms

By completing a booking and making payment, the client acknowledges that they have had the opportunity to read and understand this Cancellation, Rescheduling, Refund & Session Conduct Policy and agrees to comply with its applicable provisions.
